Step 5: Design the Event and Set the Date

So far we have been examining the groundwork that must be laid prior to the recruitment event itself. Next, we will look at the steps involved in creating the actual event. I have found that developing an annual recruitment event tied to a particular worship weekend is a helpful way to organize and introduce the process. Using weekend worship brings the largest number of people together at one time, thus ensuring you will reach as many members as possible. An annual event helps to build the culture as people experience the cyclical nature of committing or recommitting to participation in ministry. People will begin to get the connection between the term shared ministry and one of its important parts—recruitment. Placing the recruitment event within the worship service connects it to the faith and spirituality of the congregation. This kind of service speaks directly to the theology that all Christians are called through baptism to share their gifts with the congregation. Further, a worship service offers a unique opportunity for the congregation to see the importance the pastor places on participation in ministry as a right and responsibility for all believers. Music, homilies, even the decoration of the worship space itself can point to this central theme.

Current ministry members might share their stories with the congregation about the value to them personally of participating in ministry. A personal statement specific to the individual is much more engaging than listing values that are not personally experienced. Some congregations show a video of members engaged in ministry. In some congregations, people fill out recruitment forms at a specific point in the worship service. Ushers can collect them and at an appropriate time bring them forward in baskets as a symbol that members are offering their gifts to God and the community.

The information that follows is based on the premise that the recruitment event will take place at a weekend worship service.
